Frequently Asked Questions

Q:  How late is your office open?
A:  Our office is open Monday - Friday from 9:00 a.m. to 5:30 p.m.  We are closed on Saturday.

Q:  What is your phone number?
A:  For local calls, please dial 463-5050.  For out of town calls, please dial (800) 452-9153

Q:  Who determines what trips are offered by SERH & SCMC?
A:  All trips ideas come from you and your co-workers.  There is an employee activities committee that meets once a month and decides which trips will actually be offered.  The employees represent you and come from various departments at each hospital.  If you have a trip idea please don't hesitate to tell an EAC committee member.

Q:  Who can I take on a SERH/SCMC sponsored trip with me?
A:  You can take any family member or friend on a trip with you as long as you are also going on the trip. 

Q:  Where do I meet the bus for my trip?
A:  All trips depart from St. Elizabeth hospital in Lafayette.  The bus will pick people up on 17th St. behind the parking garage.  It is also possible that the bus will pull into the Dialysis Parking Lot to load participants.

Q:  Where should I park my car while I'm gone on an Employee Activity sponsored trip?
A:  The hospital has given all tour participants permission to park on the top floor (area with no roof) of the St. Elizabeth Parking Garage in Lafayette.  The area is secure and monitored by hospital security.  We recommend that you drop off your luggage at the bus before parking so you don't have to carry all of your luggage down the stairs.

Q:  I called the cashier at my hospital and they told me the trip was sold out.  Do you have any more space?
A:  The cashier holds all of the available tickets for each event.  If they told you they were sold out then that is the truth.  Our office will not have any additional spaces.  The cashier should be able to put you on a waiting list in case a spot opens up from a cancellation.

Q:  All of the tickets for the Bristol race (or other sporting event) are sold out.  Can you get me tickets for this event even if I don't go on the trip?
A:  We purchase sporting event tickets well in advance.  Some venues only allow us to buy a certain number of tickets.  We recommend that you call the venue yourself or look on the internet for tickets. 

Q:  If a trip is SOLD OUT can I put my name on a waiting list?
A:  Yes, you can put your name on a waiting list at the cashier window for any trip.  If there is a cancellation the cashier at your campus will call you and notify you of an opening on the specific trip.

Q:  Can I change the name of a person going on the trip with me?
A:  Yes, in most cases this is a pretty easy process as long as an airline ticket is not involved.  Just call our office and let us know so we can update our rooming list or participant list.  If it is a last minute change on a day trip then you can just come to the bus stop and notify the tour leader of the change.  If the trip involves an airline ticket then you will need to give us 45 days notice and it is possible that a fee will be charged by the airline.

Q:  I want to go on the trip, but I would rather drive myself to the destination.  Who should I tell?
A:  Please call our office and inform us of your decision to drive to the destination on your own.

Q:  I have decided to drive on my own for a trip that I signed up for.  How do I get my tickets (if applicable) to the event?
A: Please call our office in advance and let us know you are going to drive.  Speaker'e Travel must be given permission in advance to release any tickets before the scheduled departure time
    and date.  Permission must be granted by the EAC Supervisor.  If such permission is granted our office will make sure the tickets are here for you to pick up at the specified time (not before
    one week prior of the trip departure date).

Q:  Can I pay through Speaker's Travel for trips or do I have to use Payroll Deduction?
A:  We can set-up a payment plan for you to pay for your trip.  It is similar to the Payroll Deduction process at the hospital.  We will send you a monthly billing statement, but as long as you have paid in full by the final payment date we will not require you to stick to the plan.

Q:  Can I pay for my trip with a credit card?
A:  Yes, you may use a credit card to pay for your trip, but you must pay at the cashier window at the hospital for the trip.  Speaker's Travel does not take credit cards for GLHS/SCMC trips.

Q:  My friend and I are signed up to go on a trip together.  He/She received information in the mail, but I didn't get anything.  Why?
A:  Our office will send a confirmation letter approximately one month before your overnight trip leaves.  We send information to anyone listed on the reservation form as long as they have a COMPLETE address listed.  If your address is not listed or it is not complete then we send the information to the person who signed you up for the trip.  Please call our office and we will be happy to send you a copy of the information.

Q:  I signed up for a trip, but there isn't an overnight stay involved.  Why didn't I get any information in the mail?
A:  We do not send out any information for day trips.  Please see the flier for information and departure times.  Our office will notify you by phone or mail with any changes to the itinerary on the flier.

Q:  How do I get information on a specific trip?
A:  Call our office at (765) 463-5050 and we will be happy to answer any questions you have.  A bright green colored flier is created by Public Relations for each trip offered by SERH/SCMC.  These fliers are posted in your department and around each hospital.  The flier has all of the necessary information you should need for the trip.  If you need a flier you can find one in the mail room at either campus.

Q:  I signed up for a trip that includes tickets.  How can I sit next to another person who has signed up for the same event?
A:  You should clearly mark on your reservation form or call our office upon sign up to inform us that you would like to sit next to someone else going on the trip.  Please note:  For some events we only receive event tickets in pairs.  If you have signed up with a party of three or a party of four it is possible that you might be split up.
